Give front-desk conversations a clear owner

A patient asks how to reach the office or change a visit. The team needs a reliable reply process and a way to hand off the conversation when a clinical question appears. Design that handoff before automating reminders, and test using fictional patient data.

For offices evaluating a communication workflow

This page is for dental teams and their agencies assessing messaging requirements. It is not approval to transmit protected health information through Beam. Appointment information can itself be sensitive; leaving out a diagnosis does not establish that a message contains no protected information.

Review privacy requirements before patient use

HHS guidance on patient messages permits healthcare communication while emphasizing reasonable safeguards and limiting information disclosed. HHS business associate guidance explains when a written agreement is needed for services involving protected health information.

  1. Have the office privacy lead identify what data would reach the messaging system and connected CRM.
  2. Confirm required agreements, access controls and operational safeguards with each vendor before using patient information.
  3. Document patient communication preferences and the route for clinical questions.
  4. Test with fictional data and keep clinical details in the office's approved system until the workflow is approved.

Connect the business line and test the handoff

Beam sends from real Apple and Android devices: iMessage for eligible iPhones, RCS for supported Android phones, and SMS fallback for other reachable recipients. SMS fallback remains subject to applicable carrier A2P requirements. After a confirmed failed iMessage, fallback is a workspace setting; uncertain delivery does not trigger an automatic resend.

  1. Activate a client workspace and confirm its assigned business line. Connect the correct GoHighLevel location and give the team access.
  2. Choose a specific, wanted conversation and record the consent source. Assign someone to answer replies and handle opt-outs.
  3. Use the documented Custom Webhook for workflow sends. The regular GoHighLevel Send SMS action keeps its default provider.
  4. Test with contacts you control: send, reply, human takeover, opt-out and a failed delivery. Check the recorded channel and outcome before expanding.

Is Beam HIPAA compliant for dental texting?

The Beam sources reviewed for this page do not establish HIPAA compliance or an available business associate agreement. Have your privacy lead confirm the required agreements and safeguards before using Beam with patient information.

Will every customer receive an iMessage?

No. iMessage needs an eligible recipient and capable line. RCS depends on Android phone and carrier support; SMS fallback depends on line configuration and applicable carrier requirements.

Does queued mean delivered?

No. Queued means accepted for sending. Check delivery events or message status before treating a message as delivered. An uncertain iMessage outcome is not automatically resent as SMS.
